A jewelry sample is ready for approval when the physical piece and the written specification agree. Record the material, measurements, finish, construction and packaging together, so the production team has one clear reference for the order.
1. Confirm the base material
Write down the material for the design and any separate components. Stainless steel, brass and 925 sterling silver call for different production and finishing routes. If a specific steel grade is required, include it in the agreed specification. A gold-colored surface alone does not identify the base metal or coating process.
2. Record the measurements that affect fit
Check the dimensions that matter for that product: ring size or opening, necklace and extension length, bracelet length, or an earring's post and closure. Record measurement units and agreed tolerances. Photographs help show the design, but a written measurement prevents a scale difference from being overlooked.
3. Approve the finish as a complete specification
Keep the approved color reference alongside the coating process, layer structure and thickness agreed in the quotation. Describe polished, brushed or textured surfaces separately. A different base material, underlayer or surface texture can change the result, even when two samples have a similar color.

4. Check construction and moving parts
Review stone placement, settings, soldered or welded joints, hinges, clasps and connections against the design. Open and close the sample as intended. List any revision beside a clear photograph so that the corrected part can be checked without changing unrelated details.
5. Include branding and packaging
Confirm logo artwork, placement and legibility. Record the packing quantity, jewelry card or pouch, labels and any barcode requirements. Packaging should be part of the approval record when it is included in your order.
What should the approval record contain?
- A dated specification with the agreed revision.
- Photographs of the approved piece and any marked details.
- Confirmed material, finish, dimensions and functional checks.
- The quantity, packaging and production terms agreed with your supplier.
- Written confirmation of approval or the remaining corrections.
